We have created this guide for all those HR &amp; training managers out there who have been assigned the task of setting up their corporate training portal, whether that\u2019s for <a href=\"https:\/\/www.talentlms.com\/solutions\/compliance-training-software\" target=\"_blank\" rel=\"noopener\"><strong>compliance<\/strong><\/a>, <a href=\"https:\/\/www.talentlms.com\/solutions\/onboarding-training-software\" target=\"_blank\" rel=\"noopener\"><strong>onboarding<\/strong><\/a> or general on-the-job training.<!--more--><\/p>\n<h2>TalentLMS for Corporate Training: A Meta-Guide<\/h2>\n<p>Over the years we\u2019ve made an effort to support you in starting out in <strong><a href=\"https:\/\/www.talentlms.com\/blog\/corporate-elearning-trends-2017\/\" target=\"_blank\" rel=\"noopener\">eLearning<\/a><\/strong>. We\u2019ve named this a meta-guide as it packages much of our already-produced knowledge into a neat, step-by-step reference resource for starting your corporate training <strong><a href=\"https:\/\/www.talentlms.com\/create\/aff:bl\" rel=\"noopener\">TalentLMS portal<\/a><\/strong> out.<\/p>\n<p>Let\u2019s open with the most obvious and basic item:<\/p>\n<h2>1) Creating your content<\/h2>\n<p><strong>One of the first things you need to think about is organizing your content.<\/strong> <strong><a href=\"https:\/\/www.talentlms.com\/\" target=\"_blank\" rel=\"noopener\">TalentLMS<\/a><\/strong> gives you 3 different organizational levels: the first one is Categories (and subcategories), the second one is courses, and lastly individual units containing the actual content. A course can contain a combination of different unit formats such as videos, documents, web content, audio, SCORM\/xAPI, iFrame, test, survey, assignment or ILT.<\/p>\n<p>Here are a few resources around content creation:<\/p>\n<ul>\n<li>TalentLMS: <strong><a href=\"https:\/\/www.youtube.com\/watch?v=x4ADVEVA824\" target=\"_blank\" rel=\"noopener\">A short Introduction<\/a><\/strong> (including creating a course)<\/li>\n<li>TalentLMS: <strong><a href=\"https:\/\/www.youtube.com\/watch?v=JwmBTX2lFw8\" target=\"_blank\" rel=\"noopener\">How to add tests to your courses<\/a><\/strong><\/li>\n<li>TalentLMS: <strong><a href=\"https:\/\/www.youtube.com\/watch?v=dg9G1RJP_aM\" target=\"_blank\" rel=\"noopener\">How to add Assignments<\/a><\/strong><\/li>\n<li>TalentLMS: <strong><a href=\"https:\/\/www.youtube.com\/watch?v=mWQnSbapELw\" target=\"_blank\" rel=\"noopener\">How to set up ILT sessions<\/a><\/strong><\/li>\n<\/ul>\n<p>Once you\u2019ve created a course, check your course rules. You may choose to customize the <strong><a href=\"https:\/\/help.talentlms.com\/hc\/en-us\/articles\/360014657513-How-to-set-up-completion-rules\" target=\"_blank\" rel=\"noopener\">completion rules<\/a><\/strong> or set <strong><a href=\"https:\/\/help.talentlms.com\/hc\/en-us\/articles\/360014657533-How-to-set-a-prerequisite-for-a-course\" target=\"_blank\" rel=\"noopener\">prerequisite courses<\/a><\/strong>.<\/p>\n<p>You can choose to award a certificate once a course has been completed within your course settings. If you\u2019re using a custom certificate template, then you have to customize this first, through your <strong><a href=\"https:\/\/help.talentlms.com\/hc\/en-us\/articles\/360014657093-How-to-work-with-Certifications\" target=\"_blank\" rel=\"noopener\">Account &amp; Settings &gt; Certifications menu.<\/a><\/strong><\/p>\n<p>If there are various courses that will lead to a final certificate you can choose to set those as a prerequisite to the final certificate course. Branding can go beyond just uploading your logo and changing the colors of your portal, to customizing your homepage completely and mapping your own domain with TalentLMS.<\/p>\n<p>Please refer to <strong><a href=\"https:\/\/www.talentlms.com\/blog\/talentlms-customizations-will-improve-users-elearning-experience\/\" target=\"_blank\" rel=\"noopener\">this guide<\/a><\/strong> that will give you more information about the various customization options that TalentLMS has to offer.<\/p>\n<h2>3) Customize your notifications<\/h2>\n<p>By default, your portal will come with some preset active notifications that will go out as an email, triggered by certain events, such as when a user is created or when a user completes a course, etc.<\/p>\n<p>We strongly recommend that you go over these and choose which ones you\u2019d like to keep and which not, by either deactivating or deleting the rest. By default, your portal will have a Learner-Type, an Instructor-Type and an Admin-Type which you can customize completely, or you may choose to add entirely new user types.<\/p>\n<p>Find out how you can customize your user type permissions:<\/p>\n<p><span class=\"embed-youtube\" style=\"text-align:center; display: block;\"><iframe loading=\"lazy\" class=\"youtube-player\" width=\"640\" height=\"360\" src=\"https:\/\/www.youtube.com\/embed\/ZGyFn7TRS4g?version=3&#038;rel=1&#038;showsearch=0&#038;showinfo=1&#038;iv_load_policy=1&#038;fs=1&#038;hl=en-US&#038;autohide=2&#038;wmode=transparent&#038;listType=playlist&#038;list=PL36i_UcLTQFDXpo9zdmCxayDZX3l3oiEi\" allowfullscreen=\"true\" style=\"border:0;\" sandbox=\"allow-scripts allow-same-origin allow-popups allow-presentation allow-popups-to-escape-sandbox\"><\/iframe><\/span><\/p>\n<h2>5) Adding Custom user\/course fields<\/h2>\n<p><strong>You may want to <a href=\"https:\/\/help.talentlms.com\/hc\/en-us\/articles\/360014660173-How-to-add-custom-fields-to-a-user-s-profile\" target=\"_blank\" rel=\"noopener\">add additional fields to a user\u2019s profile<\/a><\/strong> such as which department they work in, an employee number, a location dropdown, and so on.<\/p>\n<p>These are useful, as they can be used to filter out users in your reports based on one of the above variables i.e. users who are in the San Fransisco office or users who belong to the Marketing department.<\/p>\n<p>This information can also be used in your <strong><a href=\"http:\/\/www.screencast.com\/t\/qVVWmBfXca7\" target=\"_blank\" rel=\"noopener\">notification<\/a><\/strong> messages as well as in your <strong><a href=\"http:\/\/www.screencast.com\/t\/Cheqwn7Xb\" target=\"_blank\" rel=\"noopener\">certificate template<\/a><\/strong>.<\/p>\n<p><strong>You can also choose to add additional <a href=\"https:\/\/help.talentlms.com\/hc\/en-us\/articles\/360014572354-How-to-add-custom-fields-to-courses\" target=\"_blank\" rel=\"noopener\">custom course fields<\/a>,<\/strong> an extra field in your course\u2019s settings. This could be the date a course was created\/last updated, the name of the creator of the course or any other piece of information that would make sense to get associated with the course. These will also appear in your course reports, notification and certificate templates.<\/p>\n<h3>Branches<\/h3>\n<p><strong><a href=\"https:\/\/www.talentlms.com\/blog\/multi-purpose-training-talentlms-branches\/\" target=\"_blank\" rel=\"noopener\">Branches<\/a><\/strong> can be used in corporate training for three main reasons:<\/p>\n<ol>\n<li>To create completely separate training environments for each department<\/li>\n<li>To allow a specific admin access to managing a specific group of users<\/li>\n<li>To also<strong> <a href=\"https:\/\/www.talentlms.com\/solutions\/channel-partner-training-software\" target=\"_blank\" rel=\"noopener\">train external partners<\/a><\/strong> or <a href=\"https:\/\/www.talentlms.com\/solutions\/customer-training-software\" target=\"_blank\" rel=\"noopener\"><strong>customers<\/strong><\/a> and keep the two audiences separate<\/li>\n<\/ol>\n<p>Each branch would have its own URL, login page, theme, language, timezone, default group, course catalog page, signup method and SSO provider. You can either create a user profile manually one by one (Users&gt; Add user) or use the Import function to <strong><a href=\"https:\/\/help.talentlms.com\/hc\/en-us\/articles\/360014660193-How-to-mass-add-users\" target=\"_blank\" rel=\"noopener\">create multiple users<\/a><\/strong> at once.<\/p>\n<p>Keep in mind that if you have created custom user fields you can import this information as well. Also, using the import function you may choose to assign users directly to their respective groups \/ branches \/ courses.<\/p>\n<p><strong>&#8211; SSO:<\/strong> you can choose to integrate your company SSO provider with TalentLMS. Users would be able to login directly into TalentLMS using their existing credentials and a new user profile will automatically be created within the portal.<\/p>\n<p>Please see the\u00a0list of the SSO authentication providers we support and guides on how to set this up, <strong><a href=\"https:\/\/help.talentlms.com\/hc\/en-us\/sections\/360002822114-Single-Sign-On-SSO-\" target=\"_blank\" rel=\"noopener\">here<\/a>.<\/strong><\/p>\n<h3>Assigning users to courses<\/h3>\n<p><strong>&#8211; Self-register through the catalog:<\/strong> users can self-register to any of the courses that are available in the course catalog (whether a course appears in the catalog or not is an option set within the courses settings). If you don\u2019t want to allow this you can choose to remove the \u201cCourse catalog\u201d permissions from the learner\u2019s user type and uncheck the <strong>\u201c<a href=\"http:\/\/www.screencast.com\/t\/YRIOnIlepf\" target=\"_blank\" rel=\"noopener\">External course catalog<\/a>\u201d<\/strong> option in your Account &amp; Settings page.<\/p>\n<p><b>&#8211; Using groups:<\/b> Groups are primarily used to assign multiple courses to multiple users at once.<\/p>\n<p>An example:<\/p>\n<ul>\n<li>You add your sales course to a \u201cSales\u201d group<\/li>\n<li>Then you add your sales employees to that group<\/li>\n<li>Then you can assign the group\u2019s courses to all sales members at once<\/li>\n<\/ul>\n<p>Furthermore, you can set a default group in the system, meaning that anyone who joins the portal will get automatically assigned to that group\u2019s courses. A good idea would be to group departments together and then, through your group reports or custom reports, you would be able to see an overview of the progress of each department. A common practice would be to <strong><a href=\"http:\/\/www.screencast.com\/t\/K8Ebd1rCf74T\" target=\"_blank\" rel=\"noopener\">schedule<\/a><\/strong> that report to go out to each department\u2019s manager at a given time interval.<\/p>\n<p><strong>&#8211; Self-register using a group key:<\/strong> You may choose to set a group key that can be used by users to self-enroll to groups and consequently acquire the group\u2019s courses. You can make each group key available selectively to users that need to gain access to a specific group.<\/p>\n<p><strong>&#8211; Using the Import function:<\/strong> You can use the import function to assign multiple users to Groups that contain a set of courses or to individual courses directly.<\/p>\n<p><strong>&#8211; Custom Reports:<\/strong> You can use custom reports to assign users who comply with specific rules that you have set, such as already having a specific course or having completed a specific course, and assign them to another course through mass actions.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-6549 size-full\" src=\"https:\/\/www.talentlms.com\/blog\/wp-content\/uploads\/2017\/01\/mass_actions-1.png\" alt=\"How to do mass actions - TalentLMS\" width=\"2374\" height=\"996\" \/><\/p>\n<p><strong>&#8211; Actions:<\/strong> you can set actions to automate course assignment based on specific triggers, such as \u201cz hours after course x is completed, assign course(s) y\u201d.<\/p>\n<p>This is a great way to impose a sequence with which you would like your courses to get completed.<\/p>\n<h2>The Full Monty: Using TalentLMS for Corporate Training<\/h2>\n<p>And this exhaustive meta-guide is done.
